## How This Calculator Builds a Project Budget

Accurate project costing is the difference between a profitable contract and an operational loss. This tool builds a budget from two lists you control directly, plus one risk buffer: a list of labor **resources** (each with a name, an hourly rate, and estimated hours), a list of **milestones** or project phases (each with a subcontractor/resource cost and a materials or misc cost), and a **contingency percentage** (0% to 30%) applied to the whole budget.

## Factoring in Labor Burdens and Overhead

When entering a resource's hourly rate, do not use the raw wage paid to that employee. Use the **fully burdened labor rate** instead, which includes payroll taxes, workers' compensation insurance, retirement matches, and benefits — the [labor burden rate calculator](/calculators/labor-burden-rate-calculator) will get you that number.

For subcontractor or vendor costs on a specific phase, add them to that milestone's resource cost or material cost fields rather than creating a separate resource row, since milestone costs are tracked per-phase.

## Choosing a Contingency Percentage

Projects rarely proceed exactly as planned. Material prices can rise, tasks can take longer, or clients can request additions. As a rule of thumb: 5-10% contingency for highly defined, repetitive work; 10-20% for standard business projects; and 20-30% for R&D, new technology, or highly volatile scopes.

The calculator sums all resource rate × hours products for labor cost, sums all milestone resource and material costs, adds the two together for the base project cost, then applies your contingency percentage on top for the final total budget.

## Worked Example: 2 Resources, 2 Milestones, 15% Contingency

A small software project has two resources — a designer at $80/hr for 40 hours, and a developer at $100/hr for 120 hours — and two milestones: Design Review ($1,500 resource cost + $300 materials) and API Launch ($3,000 resource cost + $1,000 materials), with a 15% contingency buffer.

Labor cost: (80 × 40) + (100 × 120) = $3,200 + $12,000 = $15,200. Milestone cost: ($1,500 + $300) + ($3,000 + $1,000) = $1,800 + $4,000 = $5,800.

Base project cost: $15,200 + $5,800 = $21,000. Contingency amount: $21,000 × 15% = $3,150. Total budget: $21,000 + $3,150 = $24,150 — the figure to present in a client proposal.
